Solutions · Subcontractor compliance

Subcontractor compliance software: every vendor cleared before they start and before they’re paid.

Every COI, W-9, license and lien waiver your vendors owe comes in on one link. The AI reads certificates against what the job requires, your AI agent chases what’s missing and checks each waiver against the pay app, and one row per vendor shows who can start and who can be paid.

Subcontractor compliance software collects every document a subcontractor owes the general contractor, checks it against what the job requires, chases what’s missing and shows who’s cleared to start work and to be paid. In Contracts Connected the AI reads each document the moment it comes in, and your AI agent does the chasing.

How it works

Everything a vendor owes, stage by stage. Read by the AI the moment it lands.

01Before they start

Nobody mobilizes until the paperwork’s in.

The subcontract, the COI and its endorsements, the W-9, the license and any bond the job requires go out on one link. Vendors set up a free account and upload from a phone or a computer.

02While they’re on site

Renewals and weekly payroll, chased for you.

Expiring certificates get asked for before they lapse, and on prevailing wage jobs every week’s certified payroll is collected and checked. Your AI agent does the asking from its own email address.

Without the AIOn the tracker alone, the Monday and Wednesday reminders ask for every renewal and every late week.

ThenWho’s cleared

One row per vendor. Who can start, who can be paid.

Every vendor and every required document on one screen, so your PM, accounting and contracts all see the same answer.

  • Signed subcontract or PO
  • Certificate of insurance
  • Additional insured and waiver of subrogation endorsements
  • W-9
  • Contractor license
  • Payment and performance bonds, if the job needs them

While they’re on site

  • Renewed certificates before they expire
  • Weekly certified payroll, on prevailing wage jobs

Before they’re paid

  • A conditional lien waiver with each pay application
  • An unconditional waiver after each payment
  • Lower-tier waivers, if you require them

Most teams run subcontractor compliance out of a spreadsheet and an inbox.

AI-first. AI optional.

The AI does as much as you let it. Or nothing at all.

It's one setting for the whole account, and you can change it any time.

Do it yourself · No AI

Your team runs it.

The link goes out, the Monday and Wednesday reminders run, and your team approves each document with the requirements beside it. No AI model touches your documents.

Done with you · The AI reads

The AI reads every document.

It checks each one against what the job requires and tells you accept or reject, with the reason. You make the call.

Done for you · The AI agent

Your AI agent runs it end to end.

From its own email address it chases what’s missing and expiring, answers vendors, reads what comes back and tells your PM who’s cleared. Human in the loop or Auto mode.

Questions people ask about subcontractor compliance

The ones that come up on demos, and how we answer them.

What is subcontractor compliance software?
Software that collects the documents a subcontractor owes a general contractor, checks them against the job’s requirements, chases what’s missing or expiring and shows who’s cleared to start work and to be paid. Contracts Connected does all of it in one place, with the AI reading each document if you want it to.
What documents do I need from a subcontractor?
Whatever the job requires. Most general contractors ask for the signed subcontract, a certificate of insurance with its endorsements, a W-9 and a license before work starts, then renewed certificates, weekly certified payroll on prevailing wage jobs and a lien waiver with every pay application. Bonds and anything else you require can be added.
What do I need to verify a subcontractor?
That the business is who it says it is, is licensed, and is insured the way your contract requires. In practice that’s a W-9 with the legal name and taxpayer ID, an active license where the state requires one, and a current certificate of insurance with the right endorsements. The AI checks each one as it comes in, or your team does with the requirements beside it.
How do you track subcontractor compliance?
Set what each job requires once, send it all on one link, check each document as it comes in and keep one row per vendor that shows who can start and who can be paid. That’s how compliance tracking works in Contracts Connected, with the reminders running on their own.
How do you ensure subcontractor compliance?
Make the requirements hard to skip. Every vendor shows whether they’re cleared to start and cleared to be paid, expirations get chased before they lapse, and a pay application waiting on its lien waiver shows as held. Nobody has to remember to check.
What’s the best subcontractor compliance software?
The one that covers everything a vendor owes, not just the COI, and ties it to who can start and who can be paid. Look for one place for the contract and every document, checks against each job’s requirements, chasing that runs on its own and a free way for vendors to upload. Contracts Connected is built around all four.
How much does subcontractor compliance software cost?
Contracts Connected starts at $416 a month on Foundation, with unlimited vendors who never pay. The AI is optional: Done with you starts with $500 of credits that the AI draws on as it reads documents. Core and Max are priced on a call. See plans and pricing.
Is this a safety or EHS compliance tool?
No. Safety platforms track training, incidents and site conditions. This is the paperwork side of subcontractor compliance: the contract and every document a vendor owes you before they start, while they’re on site and before they’re paid.
Do subcontractors pay or need special software?
No. Vendors set up a free account from the link in their email and upload from a computer or a phone. They never pay, and there’s no limit on vendors.
Can we use it without the AI?
Yes. Set the account to Do it yourself and no AI model touches your documents. The link, the reminders, the review and the tracker all work the same.
Does it work with our project management and accounting systems?
Yes. We integrate with the systems you already run, from project management to accounting and ERP, whether that’s Procore, Sage, Deltek Costpoint or something else. Each integration is worked out with you, case by case, and built and improved as you need it.
